Manual J Checklist for a Site Visit

Use this Manual J site-visit checklist to collect room dimensions, windows, insulation, infiltration, ventilation, ducts, and equipment data in one trip.

The fastest Manual J is the one that does not require a second trip to the house.

Most delays happen because one important detail was never collected.

Use this checklist during the sales or survey visit so you can build the load calculation later without guessing.

Project basics

Record:

  • Project address
  • Homeowner or project name
  • Year built if known
  • Major renovation dates
  • Existing HVAC model numbers
  • Areas served by each system
  • Known comfort complaints

Comfort complaints help you know which rooms deserve extra attention.

Conditioned-space boundary

Before measuring, identify what is actually conditioned.

Check:

  • Main floors
  • Finished basement
  • Unfinished basement
  • Garage
  • Bonus rooms
  • Sunrooms
  • Encapsulated attic
  • Vented attic
  • Crawlspace
  • Additions

For every room, know what is on the other side of walls, floors, and ceilings.

Room dimensions

For each room:

  • Name
  • Length
  • Width
  • Ceiling height
  • Vaulted/sloped ceiling notes
  • Exterior wall exposure
  • Floor exposure
  • Ceiling exposure

A laser distance meter makes this much faster.

Orientation

Determine north.

Then note the orientation of each exterior wall and window.

Use:

  • Compass app
  • Site plan
  • Reliable map orientation

Do not guess orientation from the front of the house.

Exterior walls

Record visible or known information:

  • Framing type
  • Approximate wall thickness
  • Insulation if known
  • Masonry or frame
  • Major mixed assemblies
  • Renovated sections

If wall insulation is unknown, make a note rather than inventing a value on site.

Attic and ceiling

Check:

  • Vented vs encapsulated
  • Insulation type
  • Approximate depth
  • Coverage
  • Vaulted ceilings
  • Roof-deck spray foam
  • Knee-wall conditions
  • Ducts in attic
  • Signs of major air leakage

Take photos.

Floors and foundation

Identify:

  • Slab
  • Basement
  • Crawlspace
  • Floor over garage
  • Floor over exterior
  • Insulation
  • Encapsulated crawlspace
  • Walkout basement exposure

Foundation assumptions can be very different from above-grade walls.

Windows

For each unique window type or room, record:

  • Width
  • Height
  • Orientation
  • Number of windows
  • Number of panes
  • Frame type
  • Approximate age
  • Low-E if known
  • U-factor/SHGC labels if available
  • Exterior shading or overhangs

Photograph labels before they disappear into your camera roll forever.

Exterior doors

Record:

  • Size
  • Type
  • Glass area
  • Orientation where relevant

A mostly-glass patio door should not be treated like a solid insulated door.

Infiltration evidence

Ask or observe:

  • Blower-door result available?
  • Recent air sealing?
  • Weatherstripping condition?
  • Older leaky windows?
  • Fireplace?
  • Obvious attic bypasses?
  • Crawlspace leakage?
  • Energy audit documents?

If you have CFM50 or ACH50, record the units clearly.

Mechanical ventilation

Check for:

  • ERV
  • HRV
  • Fresh-air intake
  • Outdoor-air duct to return
  • Continuous exhaust
  • Controls and airflow labels if available

Take equipment photos.

Duct system

Record:

  • Supply duct location
  • Return duct location
  • Attic/crawlspace/conditioned location
  • Insulation condition
  • Visible leakage
  • Crushed flex
  • Disconnected runs
  • Number/location of returns
  • Major room distribution problems

If the ducts are being reused, this information matters to both load and comfort.

Existing equipment

Photograph nameplates for:

  • Outdoor unit
  • Furnace
  • Air handler
  • Heat strips
  • Indoor coil if accessible

Also note:

  • Approximate age
  • Staging
  • Variable-speed/inverter capability
  • Homeowner runtime observations

Do not use existing equipment capacity as the new load, but keep it as context.

Homeowner questions

Ask:

  • Which rooms are uncomfortable?
  • Does the system run constantly on extreme days?
  • Does it short-cycle?
  • Is summer humidity a problem?
  • Have windows been replaced?
  • Has insulation been added?
  • Has the house been air sealed?
  • Were additions tied into the system?
  • Are doors normally open or closed?

These answers can expose modeling and distribution issues.

Photos to take

At minimum:

  • Each exterior elevation
  • Attic insulation
  • Crawlspace/basement
  • Duct conditions
  • Window labels
  • Equipment nameplates
  • Mechanical ventilation
  • Unusual rooms
  • Additions

Photos save return trips and help defend assumptions.

Before leaving the driveway

Ask yourself:

  • Do I know the conditioned boundary?
  • Do I have room dimensions?
  • Do I know north?
  • Did I get major window sizes?
  • Do I know attic insulation?
  • Do I know foundation type?
  • Do I know where the ducts are?
  • Do I know whether ventilation exists?
  • Do I have equipment photos?
  • Did I document unknowns?

If the answer is yes, you probably have enough to build a defensible existing-home Manual J.

Bottom line

A field checklist makes Manual J faster because it prevents missing-data cleanup.

Collect the building once.
